What your training costs now, and what it would cost instead.

Immersive training has a real business case and it is almost entirely a function of how many people you put through it. The cost sits in the build and almost nothing in delivery, which is the inverse of classroom training — so the two curves cross at a learner count. This works out where yours crosses, using your numbers rather than ours.

Every saving is an input, not an assumption

The tool does not decide how much time you save or how much travel disappears. You enter what you expect to change, and it does the arithmetic. That is what makes the output defensible when somebody in finance pushes back on it.

Cost only

It says nothing about how well people learn

There are credible studies on immersive learning outcomes and there is a great deal of marketing dressed up as research. This model stays out of that argument entirely and compares money to money.

Figures are rounded to the nearest pound. The break-even figure is the number of learners a year at which the two annual totals meet, holding every other input where you set it.

Three things worth checking before you take this to a board.

Cohort size

Does the learner count hold for the whole period?

The model spreads the build across the years you choose and assumes your annual intake continues. A one-off cohort that never repeats is the case where immersive rarely pays, and the calculator will show that honestly if you enter it.

Content churn

How often does the material change?

Spreading a build over five years only works if the content is still correct in five years. If the procedure changes annually, set the period to one year and look at the number again.

Hidden costs

Have you counted the day rate honestly?

The largest line in most classroom training is not the trainer, it is the people not doing their jobs. If your day-cost figure is only salary, the current-state total is understated and the case looks weaker than it is.

If the result is marginal, that is useful information rather than a failure. The honest conclusion is sometimes that a shorter e-learning module or a better-run classroom does the job, and we would rather tell you that before a build than after one.
